# Nominate, review and accept

You have received an e-mail, or there is a coloured strip with a task in your profile: easyreview needs something from you so that the feedback providers for a person can be settled. Depending on your role you propose people, review someone else's proposals, accept yourself or approve the finished list. Each of these tasks takes a few minutes, and the strip tells you which one it is.

This page describes the tasks from the point of view of the people involved. How HR sets up the process is described in [Determine feedback providers through nominations](/en/c/feedbacks/set-up-nominations). How HR keeps an eye on every list of an edition is described in [Keep an eye on nominations](/en/c/feedbacks/monitor-nominations).

## Where your task is

For every step easyreview sends an e-mail with a link that takes you straight to the right place. You will find the same tasks in your profile at any time. Open "My profile", click the "Reviews" tab and wait two or three seconds. The "Nomination tasks" block is then at the very top.

![Reviews tab in the profile with the Nomination tasks block and three strips](/attachments/feedbacks/nominieren-pruefen-und-zusagen/aufgaben-im-profil.png)

Every task is one strip. On the left is the verb: "Nominate", "Review", "Accept", "Approve", "Propose replacement" or "Remove". Below it you see who it is about, which perspective it concerns and what the list is waiting for, for example "Jonas Weber · Peers: 4 people in review, waiting for your review". "Open" on the right takes you to the place where you act. If the nomination period is already over, the strip also carries the note "overdue".

Above the strips are the name of the feedback, the period of the edition and the end of the nomination period. If you have more than five tasks in one feedback, a link such as "Show 3 more" appears below them. It leads to the "Nominations" tab of the edition, filtered on "Whose turn". If you are not allowed to open that tab, the same link unfolds the remaining strips where they are.

If there is nothing for you to do, the block is missing entirely. Nothing there means nothing on your desk.

## Propose people

You get this task when you receive feedback yourself and are asked to name your peers, or when you propose people for your team as their manager. In the first case the page behind "Open" is called "Your nominations", in the second "Nominations for Jonas Weber". You pick the people in a dialog that shows the list of the perspective right alongside.

1. Click "Open" in the "Nominate" strip. At the top of the page is the "Your tasks" block, for example with the row "Propose people · Peers · 3 more people needed". Click "Propose now" in that row. The same dialog also opens from the "Propose people" button in the grey status line of the perspective.
2. Search by name, staff number or job title. From two characters on, the matches unfold below the search field. Click a match and the person appears in the list below. Or choose a group under "Filter by group" next to it. Then every selectable person of that group is on offer, and you can click several one after another.
3. Check the list. It shows who is already on it, and your new people highlighted in blue with "New". Above it on the right easyreview counts along, for example "4 of at most 5 · min. met", and the free places are at the end. The cross takes a new person off again. Once every place is taken, the list accepts nobody else.
4. Add a message if you want. To do so, click "Message to the reviewers" below the list. The message appears above the list of people later and explains to the reviewers why it should be these people.
5. Click "Propose 2 people" at the bottom right. The button always names the number of your new people.

![Propose people dialog for the peers of Talia Weber with the search, two new people on the list, the Message to the reviewers link and the Propose 2 people button](/attachments/feedbacks/nominieren-pruefen-und-zusagen/personen-vorschlagen.png)

What happens afterwards is written to the left of the button, for example "Then Mattis Liebach (Supervisor) reviews the list." If nobody else reviews your list afterwards, the message link is missing.

If the nomination path has no review, the button is called "Complete list". With that click your list is finished, and you cannot add anyone afterwards. The sentence next to it says what follows, for example that the new people are asked to accept. In that case choose all people in one go.

Below the search field it says whom you may choose from: "You can choose any colleague …" or "You can choose your own direct reports …". The person the list is about, and everyone already on it, cannot be selected.

If that sentence mentions "the group of people of the nomination path", HR has restricted the group further, for example to one department. Anyone who does not match appears neither in the search nor in a group. If someone is missing, contact the HR department.

If the hint "Nobody can be selected here at the moment: the group of people of this nomination path must be checked by HR." appears instead of the search, easyreview can no longer apply a filter of the path. Until HR has corrected it, you cannot propose anyone. Let the HR department know.

Once you have sent the list, your new people are highlighted in blue in the block of the perspective. The grey status line shows where things stand now, for example "Next: Acceptance by the nominees".

You can take back your own proposals until the review has been completed. Open the ⋮ menu in the row of the person. During the nomination it offers "Remove", during the review also "Replace". Once the list moves on to the acceptance this is over, and only HR can still help.

As a manager you usually have this task for several people at once, because the nomination path puts the proposing in the manager's hands. Each person has their own page and their own strip in your profile. Work through them one after another.

### Propose external people

If the nomination path allows external people, the same dialog also lets you propose people who have no easyreview account, such as customers or suppliers.

1. Click "Add person without an account" below the search field. Or type the name into the search and choose the row "Add … as an external person" among the matches, then the first and last name are already filled in. The "External person" section unfolds.
2. Enter the first name, last name and email address and click "Add". The person then appears in the list with "External person" and their address below the name, and counts like a colleague. "Discard" clears the fields again.
3. Repeat this for every further person and send the list.

If the fields still hold a person you have not added, the send button stays disabled. To its left it then says "The external person has not been added yet." Add the person or click "Discard".

![Propose people dialog for the customers of Talia Weber with the added external person Sabine Krämer, the person Daniel Voss entered but not yet added, and the hint at the bottom left](/attachments/feedbacks/nominieren-pruefen-und-zusagen/externe-person-hinzufuegen.png)

If the path only accepts external people, the search is missing. The "External person" section is open right away, and above it you read "Here you propose external people without an easyreview account."

External people count towards the maximum of the perspective. easyreview does not accept the address of the person the list is about, nor the address of a colleague with an easyreview account. You select colleagues through the search. The same address can only appear once in a participation group. A list accepts at most 40 external people, and anyone who was removed, declined or was rejected counts too. Once that limit is reached, the dialog no longer offers external people. On top of that, you can enter at most 100 external people within 24 hours, across all lists.

The external person receives everything else by email with a personal link: the request to accept, if the path asks for it, and after the list has been approved the invitation to the questionnaire.

## Review proposals

As the reviewing role, usually the manager, you see the proposals before the nominees are asked. You may change the list, but you do not have to.

1. Click "Open" in the "Review" strip and jump into the perspective through the "Your tasks" block. If "Message from Jonas Weber:" appears above the list of people, the nominating person has explained their choice.
2. Change the list if you need to. The ⋮ menu of a row offers "Replace" and "Remove", and a reason is mandatory for both. "Nominate person" in the footer of the block opens the same dialog as proposing does. Anyone you add there joins your review in progress right away.
3. Click "Complete review". The dialog says beforehand what comes next: "Effect: The nominations move on to: Acceptance by the nominees."

![Peers block of Jonas Weber in review with the open Complete review dialog](/attachments/feedbacks/nominieren-pruefen-und-zusagen/pruefung-abschliessen.png)

The stage only ends through "Complete review". As long as you do not click, the list waits, even if you did not want to change anything. If the feedback has several review stages, the next one is up afterwards. The grey status line then shows which one is running ("review 1 of 2").

## Accept or decline

Someone has proposed you as a feedback provider, and easyreview asks whether you want to take part. The e-mail contains a link that works without a login and is only valid for you. If you are signed in anyway, the "Accept" strip in your profile leads to the same page. External people without an easyreview account receive the same email and answer on the same page.

The page is headed "Would you like to give feedback to Lena Hoffmann?" and starts by saying what accepting means: you will receive the questionnaire later as a link by e-mail, you can fill it in during a stated period, and you answer for one particular perspective.

1. Open the link from the e-mail.
2. Choose "Yes, I will take part" or "No, I will not take part". A field unfolds below the answer you picked: the optional "Note for the reviewers" for an acceptance, the mandatory "Reason" for a decline.
3. Click "Send answer". Without an answer, and without a reason for a decline, the button stays disabled.

![Login-free acceptance page with the two answers and the Send answer button](/attachments/feedbacks/nominieren-pruefen-und-zusagen/zusage-seite.png)

Who reads your note is stated right below the field: the person who proposed you, and the HR department. easyreview then shows a receipt with your answer and the next steps. You cannot change the answer afterwards, for that you need to contact the HR department.

After a decline, the person who proposed you gets the task "Propose replacement". You yourself will not receive any further e-mails about this request.

:::info
Accepting is not yet an invitation to the questionnaire. The invitation comes later in a separate e-mail, only once the list has been approved. What to do then is described in [Take part in a feedback](/en/c/feedbacks/take-part-in-feedback).
:::

easyreview cannot ask colleagues without an e-mail address. They appear on the list straight away as "Accepted (auto)". How they get to the questionnaire later is described in [Download participation PINs](/en/c/feedbacks/download-participation-pins).

## Propose a replacement

If someone you proposed has declined, or an approver rejected them and requested a new nomination, the request comes back to you. The "Propose replacement" strip then appears in your profile.

1. Click "Open". In the block of the perspective the person who dropped out is at the end of the list with their name struck through and their reason below it. If it is your turn, the grey status line also carries the "Propose replacement" button.
2. Open the ⋮ menu in that row and choose "Propose replacement".
3. Choose exactly one person in the selection area and click "Propose replacement". They take the place of the person who dropped out and are asked for their acceptance in turn. If the path allows external people, the replacement can also be an external person whom you enter under "Add external person".

![Peers block of Aylin Demir with Marie Schulz struck through and the open row menu Propose replacement](/attachments/feedbacks/nominieren-pruefen-und-zusagen/ersatz-vorschlagen.png)

As long as nobody moves up, the list goes no further: the approval waits for the replacement. If the list is fine without the person who dropped out, HR can drop the open request and confirm the invitation anyway. That is described in [A nomination is blocked: what to do](/en/c/feedbacks/nomination-blocked-what-to-do).

## Approve the list

Depending on the nomination path, the approvers are HR or the next manager up. They see the list once all acceptances are in and decide whether it should stay as it is.

1. Click "Open" in the "Approve" strip. In the block of the perspective the people are listed with the state "Waiting: approval", and the "Source" column next to it says who proposed them.
2. If you do not want someone on the list, open the ⋮ menu in their row and choose "Reject". The dialog asks for a reason and one of three resolutions: "Delete", "Request a new nomination" or "Propose replacement".
3. Click "Approve list". The dialog says beforehand what your approval does: "Your approval counts for this step. Once all required approvals are in, next is: Invitation."

![Peers block of Nina Bauer in approval with the Approve list button and the open row menu Reject](/attachments/feedbacks/nominieren-pruefen-und-zusagen/liste-freigeben.png)

The grey status line counts the approvals: "0 of 1 approvers have approved." Some approval stages require every person of the stage to approve, for others a single approval is enough. If there are several stages, the next one is up after yours.

If "Approve list" is greyed out, the list is blocked, usually because too few people are on it, a replacement is outstanding or someone has not answered yet. Hover over the button and the hint names the reason. The ways out are described in [A nomination is blocked: what to do](/en/c/feedbacks/nomination-blocked-what-to-do).

If several lists of the same person are waiting for your approval, "Approve" appears next to the deadline at the top right. The dialog behind it shows per list what your approval does, and leaves out what is not possible right now.

:::warning
If someone joins during the approval, as a replacement for example, the approval starts over. Every approval stage sees the changed list once more. The acceptances of the other nominees remain, they are not asked again.
:::

With the last approval the invitation is confirmed. The nominees become feedback providers and are listed as "Participant" from then on. The invitation to the questionnaire goes out according to the settings of the edition, together with the other feedback providers. The same applies to external people. If no invitation date is pending any more, they receive their invitation right away with the approval. A confirmed invitation cannot be taken back.

## What you cannot see and cannot do

Reasons for a decline, a rejection or a removal are only visible to people with insight into the whole list: HR, the management, moderating perspectives and the people who review or approve in this list. You see the reason for your own proposals, not for anyone else's.

As the feedback recipient you see your own list, but neither the menu of the perspective nor the "Process and history" row in the footer of the block. From which step you get to see the list at all is set by HR in the feedback. You can only open another person's nomination page if you nominate, review or approve there yourself.

What HR can do from the other side is described in [Manage the nominations of one person](/en/c/feedbacks/manage-the-nominations-of-one-person). Which e-mails go out for which step, and when reminders are sent, in [Notifications for nominations](/en/c/notifications/notifications-for-nominations).
