# Accompany nominations until the invitation

The lists are running, the first requests have gone out, and from now on the people involved do the work. You accompany them. That takes a few minutes every two or three days: give your own approvals, resolve the red rows, remind the stragglers shortly before the deadline. This guide is that routine, from the running nomination period to the moment the invitations to the questionnaire go out.

## Step 1: Look in every two or three days

The guide [Set up a 360° feedback with nominations](/en/guides/set-up-a-360-feedback-with-nominations) ends exactly here: the lists have started and the first requests are on their way. From now on your workplace is the "Nominations" tab on the status page of the edition, to the left of the "Invitations" tab.

You get a first impression above it, in the blue header of the edition. The "Nominations:" row carries three figures, for example "2 of 11 done · 4 are waiting for you · 3 blocked". Each of them is a link and opens the tab with the matching filter. If the middle and the right figure are zeroes, you are done for the day.

Every two or three days is enough. Nothing runs away from you: easyreview cancels no list and advances nothing on its own, everything waits for you.

## Step 2: Clear your own tasks first

Below the title line in the tab sits a green strip: "The nominations of 4 feedback recipients need your attention." The "Show 4 groups" button next to it filters the table down to the "Your turn" group. When the strip is missing, nothing is on you.

Most of the time these are approvals. Click "Open" on the right of the row, read the list and click "Approve list" in the perspective block. If there are many of them, tick the rows and take "Approve" in the bulk bar above the table. The dialog shows per list what your approval does there.

This group also collects whatever easyreview could not hand to anybody. If the supervisor is missing from the profile of a feedback recipient, there is nobody to propose or review, and the step falls to HR. Your task is then called "Propose people" or "Complete review" instead of "Approve list", and you work it off like any other.

## Step 3: Resolve the red rows

Red means: this list does not move on by itself. Every red perspective in the "Fulfillment per perspective" column carries an info icon. One click opens "Why blocked?" with the message, a sentence with figures and names and, where there is one, the responsible person. Esc closes it again.

While the period runs, these four messages are the ones you see:

1. "Too few people": the list stays below the minimum. Remind the responsible person through the ⋮ menu of the perspective, or nominate somebody yourself through "Nominate person".
2. "Replacement open": somebody declined and nobody took their place. Through the ⋮ menu of the struck-through row you pick the replacement yourself.
3. "Role unfilled": usually the supervisor is missing from the employee profile. Add them and reload the tab, then the task sits with them again. For an automatic nomination path adding them no longer helps, there you nominate yourself.
4. "Already in another perspective": the person is already giving feedback elsewhere in this feedback. One of the two has to go.

If none of these gets you any further, "Confirm invitation (override)" is left. That approves the list although the rule is violated. The reason is required and appears in the history afterwards.

## Step 4: Leave the running lists alone, but watch the deadline

The "Running" group really does mean: nothing to do. Other people are up and still have time. What they have in front of them is described in [Nominate, review and accept](/en/c/feedbacks/nominate-review-and-accept).

You do not have to follow up either. For "Nomination requested", "Acceptance requested" and "Approval blocked", easyreview reminds people after 7 days by itself. Review and approval come with no reminder out of the box, so anyone asleep there is only noticed at the end.

Two or three days before the end of the nomination period, one sweep is worth it. Set the "Status" filter to "Running", tick the checkbox in the table header and take "Send reminder". The dialog lists per list who gets the email; whoever gets none is greyed out. Three days before the end, the email "Nomination period ending" goes to you and to everybody with open nominations anyway.

## Step 5: Decide once the period is over

The end is a deadline, not a lock. The title line now counts backwards, for example "Nominations · until 10.09.2026 · ended 12 days ago". Every list that is not approved now sits in the "Blocked" group, with "Period expired" as the reason. On the following day easyreview sends "Nomination period expired" to you and to everybody who still has something open.

Those rows stay where they are until you touch them. You have three options:

1. Extend the period. A new end date in the settings of the feedback brings every overdue list of the edition back into the race at once, and nobody drops off a list.
2. Advance. That ends the step the list stands at, without waiting for the stragglers. At the acceptance step, everybody who did not answer drops off as "No answer". If a list hangs on nothing but the rule, easyreview stops offering this at all.
3. Confirm the invitation by override. The nomination path ends early: whoever accepted becomes a feedback provider, whoever did not answer drops out. The reason is required, and this cannot be taken back.

When there are many rows, do not do this one by one. Set the "Status" filter to "Blocked", tick the checkbox in the table header, and start with "Send reminder". It costs nothing and settles most cases.

## Step 6: Read the finished lists once more

With the approval, easyreview creates the nominated people as participations. The "Invitations" tab shows the result: the feedback providers now sit in the participant list, and the chip "Nomination" under the name of the feedback recipient disappears. As long as it is there, at least one list of that person is still open.

Walk through the finished people once, and watch out for the perspectives that have no nomination path at all, a perspective for customers without a path of its own for example. Their feedback providers do not arrive on their own. You enter employees by hand through "+ Participant", and you invite external people through "Invite external person" in the row menu of the feedback recipient. Both count towards the minimum and maximum of their perspective.

## Step 7: Invite and move into the feedback phase

The last step is the familiar one. If the edition has an [automatic invitation date](/en/c/feedbacks/set-up-automatic-email-invitations) and it lies after the end of the nomination period, there is nothing for you to do. On that date easyreview invites everybody who is settled by then, external people from a nomination path included. They receive their invitation with the personal link.

If the date lies before it, easyreview warns you in the dialog of the edition, below the "Nomination period" field. Feedback providers whose list is not confirmed on that date get no automatic invitation. You invite them by hand afterwards: open the participant list, tick the people, pick "Invite selected participants" in the dropdown above the list and confirm. External people receive their invitation right away with the approval of their list in this case.

From here the feedback runs like any other. The "Nominations" tab stays where it is and keeps showing how each list came about.
