Reopen a participation

Once an employee has finished their feedback, they can no longer edit or add to it. Sometimes you need to reopen a finished participation so that person can adjust their feedback after the fact.

Who can reopen participations?

  • HR admins can reopen participations in any feedback process.
  • Supervisors can reopen participations when the setting “Supervisor can manage participants” is enabled in the feedback process’s options. A supervisor can then reopen the participations of the employees assigned to them.

Prerequisites

The reopen function is only available when all of these conditions are met:

  • At least one participation in the review group is finished.
  • The review group is not sealed.
  • No sealing process is running for the review group.
  • The feedback process is not anonymous.

Reopen a participation

  1. Open the participant list of the feedback process (the Invitations tab).
  2. Click the dropdown arrow at the right edge of the row for the review group you want.
  3. Hover over the “Re-open participations” menu item. A submenu opens listing the participants whose participation is finished.
  4. Click the name of the person whose participation you want to reopen.
  5. Confirm with “Re-open participation” in the dialog.

The participation is now open for editing again. The person can rework and submit their feedback.

What happens after reopening?

  • The existing answers are kept. The person doesn’t have to fill in the questionnaire from scratch.
  • The questionnaire starts again on the first page. The person can step through every page and make targeted changes.
  • The participation must be submitted again on the last page of the questionnaire before it counts as finished.

There are two other ways to edit finished feedbacks after the fact:

  • Subsequent changes: lets feedback givers reopen their own finished participation themselves. This option has to be enabled in the feedback process’s settings.
  • Edit answers: lets HR admins and executive management edit a participation’s answers directly, without the participant having to do anything.
